Top 10 Time Wasters - and How to Beat Them!

In the constant battle for effective time management, even the best systems can be derailed by the constant barrage of distractions. Distractions are unavoidable, and left unmanaged, they can have a detrimental effect on productive time, dissipate your energy level and lead to an increase of stress. Regain control by employing these solutions to ten common time wasters.

  1. Telephone calls
    • Check messages and return calls 1–2 times per day
  1. Email
    • Check no more than 3–4 times per day
    • Disable auto-alert messages for mail arrivals
    • Develop a reliable and reproducible filing system for saved messages
    • Rapidly dispose of unwanted messages and junk mail at first pass
  1. Physical interruptions
    • Close office door and respect as colleagues do the same
  1. Paper
    • Handle each piece of paper only once ('When in doubt, throw it out')
    • Develop reliable and reproducible filing system
    • Store publications as electronic PDF files
  1. Repetitive Activities
    • Automate whenever possible
    • Create 'quick text' for frequently used phrases in email or documents
    • Delegate tasks that can be done by others
  1. Disorganization
    • Clean and organize the desk and office
    • Organize paper, mail and electronic files for easier accessibility
  1. Procrastination
    • Identify and address reasons for procrastination
    • Accomplish small increments of progress on a project
    • Do not allow perfectionism to get in the way of progress
  1. Meetings
    • Arrive on time
    • Encourage others to do the same to change the culture of lack of punctuality
    • Bring alternative work if others are not punctual
  1. Waiting (Includes waiting for meetings, conferences, telephone hold, etc.)
    • An ideal time to complete less important responsibilities
    • Perform quick and easy tasks (such as replying to emails or administrative paperwork)
  1. Commuting
    • Enjoy music, books on tape, quiet self-reflection, relax
    • Use audio tools for continued education, training, learning a foreign language
    • Read trade publications if using public transportation
